Procuring a product or service is not (often) carried out just for the sake of it. There will be an identified need for a product or service, and this need will have to be documented and explained if adequate funds are to be made available for the desired item/s to be successfully procured. There will often be several decision makers through which a procurement request has to be made before authorisation can be given, so providing a well-considered and persuasive reason can result in a more favourable outcome being achieved.

Whilst machinery will often have an original stated life span of use before planned replacement is carried out, with pro-active maintenance and effective working practices the life span of machinery can often be extended significantly, whilst still producing satisfactory results.

The justification for procurement can involve one or many reasons, including:
Replacement parts are difficult or expensive to obtain.
Malfunctions and breakdowns are frequent, with lost productivity being unacceptable.
More efficient productivity.
• Improved quality of finish.
• Different power source, which can use renewable energy, rather than carbon polluting petrol or diesel.
Improved ergonomic design, further reducing negative health and welfare impacts on users.
Improved cost-effectiveness of operations.
